Hot Tub Hire Terms & Conditions

Your deposit or full payment and/or your acceptance of the delivery of the equipment for the hire of the Hot Tub is deemed as acceptance that you have read, understood and agreed to the following Terms and Conditions and that you have read and agree to abide to the Safety instructions herein described.

You also acknowledge that you have read the page titled 'Maintenance' guide shown in the FAQ page on this website which also forms part of these Terms and Conditions.

Security Deposit

We retain the right to request a deposit of £200 which will be returned to you after a Hot Tub check on collection of the Hot Tub providing there is no damage to it and we have access to get it at the agreed time and date and it has not been stolen.

Any theft or damage caused by gross misuse may include a new Hot Tub costing up to £1,500, a replacement filter charge of £5, and/or a cleaning charge of £75 if applicable.

If the hirer does not pay for the damage or for a stolen Hot Tub willingly then we will pursue for lost monies in a small claims court and if it gets to this stage then we reserve the right to also claim for loss of income due to the loss of hire time caused by the damage or loss of the Hot Tub.

Hire Periods

At the end of the hire period, goods not made ready for collection will be placed back on hire for a further hire period at the same hire charge you must pay us the extra charges when we ask for them, to include any additional costs incurred.

The contract comes into effect when you have paid either the deposit or full payment and or your acceptance of the delivery of the equipment.

Delivery Charges

Delivery is FREE within 5 miles radius of our location in Uckfield TN225PW. We charge just £1.50 per mile for distances beyond this to cover fuel costs and time travelled.

Delivery Times

While we 'try' to be accommodating as much as is possible due to the logistic of delivering Hot Tubs throughout West and East Sussex we cannot guarantee a specific delivery time ESPECIALLY during peak seasons such as August and you are expected to be available all day on the day of your delivery date. On some occasions this can be as late as 8pm.

We will however send you a text message 1 or 2 nights before giving you a 3 or 4 hour delivery window and the driver will text you again when they are on route.

 

Subject to availability 'IF' you wish to GUARANTEE a specific delivery time window of 1 hour then we can provide this service at an additional fee of £40. This is to cover the additional delivery time and fuel costs of re routing.  

The driver will need to be able to park relatively close to where the Hot Tub is to be sited.  He will have several pieces of heavy equipment to move and it is important that he can do this safely. Failure to check this will result in a forfeiture of the deposit.

Failure to accept delivery

In the event that when we attempt to deliver the Hot Tub at a time and date specified with you that no person is present to allow access to the property and accept deliver or instruction then you will forfeit the deposit and will be liable for the full rental cost of the Hot Tub.

At our discretion we may offer to rearrange delivery at another date subject to availability and the additional charge of extra fuel and time costs of £75.

Your responsibility when hiring the Hot Tub

You must give us clear instructions, and take all reasonable steps to ensure the safety of all users of the Hot Tub during the hire duration. We accept no responsibility for any damage or injuries caused by the misuse of one of our Hot Tubs.

You will need to have a relatively flat and CLEAN surface measuring at least 2.5m by 2.5m making sure that users will able to get in and out of the Hot Tub.

 

This should NOT be on muddy grass, course aggregate, builders rubble, MOT or loose wood chips. Pea shingle, slate, maintained grass (not muddy), concrete and decking are fine (see section 'Damage to you Property'). Failure to have a suitable surface will result in the driver NOT being able to install the Hot Tub and your deposit being forfeited.

 

You will need to supply a hose or other method of providing clean water for the operative to be able to clean down the Hot Tub and begin filling.  

 

You will also need a safe electricity supply but should be no further than 15m away from the Hot Tub.  Failure to meet this requirement will mean the Hot Tub cannot be installed and you will lose the deposit.

NO responsibility can be taken to any damage caused to your electrical system in the use of the Hot Tub.  You are responsible for ensuring that your electrical system is capable of providing adequate and safe electrical supply to the Hot Tub which should include an RCD on the circuit board.

You the hirer become responsible for the Hot Tub when you receive it – please take extra care to stop any sharp objects or naked flames from being around or in the Hot Tub and prevent people from jumping in or on the Hot Tub.

We expect the Hot Tub to be emptied the night before the day of collection by lifting the drain cap at the bottom of the Hot Tub.  If the Hot Tub is NOT empty by the time we collect then an emptying charge of £20 will be made.

Hot Tub Replacement

Due to issues of damage and to avoid having to cancel, thereby avoiding disappointment, we reserve the right to substitute your Hot Tub with one of similar size.

NOT being provided with the exact model booked is not a reason for any discount or refund.

Hot Tub Temperature

We expect the Hot Tub to reach temperature within 12-36 hours after the heater is started dependant on ambient temperature.  

You can dramatically speed up this process if you have the facility to fill the Hot Tub with hot water. Please ensure that the temperature of the incoming water does not rise above 35 degrees or this will shut down the motor.  Mix with cold water to avoid this.

WE DO NOT ACCEPT COMPLAINTS ABOUT TEMPERATURES NOT BEING REACHED AS THE HOT TUB WILL REMAIN USABLE AND IS SUBJECT TO A NUMBER OF USER FACTORS:

  • Failure to switch on the heater when full

  • Overuse - If the Hot Tub is used constantly without being able to regenerate especially during cold periods it will lose heat 

  • Lid - Failure to put back the lid and any insulation provided correctly between and after each us

  • Bubbles - Using the bubble feature too much (10 mins in any 2 hour period is the max)

  • Ambient temperatures dependant on weather beyond our control 

These rules are particularly important during autumn and winter hires.

Cancellations

 

Deposit payments are non refundable but at our discretion and subject to availability we may be able to transfer the booking to an alternative date which may be subject to an additional payment depending on date and duration of the new booking.

Accidents / Injury

The hirer acknowledges that the use of the Hot Tub is at the hirers own risk.

'Rental Hot Tubs' or its owners or subsidiaries will NOT be held liable for any accidents, injuries or death during the hire of the Hot Tub equipment - this includes falling over on wet surfaces or falling in or out of the Hot Tub.

Chemicals

You would have been provided with a comprehensive chemical pack to help maintain water quality and safety.  

 

Please make sure you read the chemical 'Maintenance' guide shown in the FAQ page on this website. Any call outs regarding water quality are subject to additional cost and a call out charge of £75.  

 

YOU as the hirers are responsible for maintaining the water quality and ensuring that this remains safe. 

 

You should check the chemical levels in the water regularly to ensure safe bathing using the test strip provided.

The customer chemical box you have been provided with should be kept out of the sunlight and away from the reach of children at ALL times.

TAKE EXTREME CARE when handling these chemicals, some of which are caustic, and ensure the use of gloves and safety glasses at all times.

Please ensure that users of the Hot Tub have no allergy to any of the chemicals used.  We use Bromine as our disinfectant additive but other chemicals in the chemical box are also used.

Any damage or loss of the chemical box will incur a replacement charge of £100.

Safety Instructions & Prohibited Items

You must make sure that everyone using the Hot Tub is properly instructed on how to use it safely and correctly and that they have all read the instructions we have supplied.  

 

As part of the Terms and Conditions of your hire it is understood that you will have familiarised yourself with the 'Maintenance' guide shown in the FAQ page on this website which contains IMPORTANT information and instructions on the safe use of the Hot Tub, Gazebo and Chemicals. 

 

Whilst instructions are supplied to every customer, we ask that extra care is taken on the advise below:

  • Enter the water with care making sure it is not too hot (test first).

  • At a temperature of 37 degrees centigrade or above you should not spend more than 15 minutes in the Hot Tub.

  • YOU the hirer must make sure the Hot Tub is not misused.

  • Only use plastic glasses in the Hot Tub and avoid placing the Hot Tub near any naked flames or allowing guests to smoke in the tub.

  • DO NOT enter the Hot Tub with shoes on or with any sharp object on your person.

  • DO NOT dive or jump into the Hot Tub.

  • DO NOT sit on the Hot Tub cover.

  • DO NOT stand on the Hot Tub housing.

  • DO NOT get into the Hot Tub wearing fake tan or body creams.  Such products will stain the Hot Tub and cause damage to the filter and engine requiring its replacement which will be met by the hirer.

  • YOU the hirer must ensure everyone using the Hot Tub is in a sound, healthy and fit state or have permission from their doctor where appropriate to use the Hot Tub safely.

  • YOU the hirer must make sure users are not under the influence of drugs or alcohol.

  • YOU MUST ensure no more than six people are in the Hot Tub at any one time.

  • YOU MUST ensure the cover is on to retain the heat when not in use and to prevent leaves and wildlife entering the Hot Tub.

  • ALWAYS leave the Hot Tub plugged in and switched on when not in use in order for the
    filtration / heating systems to work.  If it is accidentally switched off or a power failure occurs, the tub will need to be switched back on and reset as shown in the setup demonstration.

  • When not in use MAKE SURE that the cover is on the Hot Tub to prevent debris entering it and to stop animals and children entering it without supervision

  • NO ANIMALS are allowed in the Hot Tub

  • Unless supplied DO NOT add any additives such as but not exclusive too bath salts, bubble bath or confetti which will damage the Hot Tub and the engine.  The hirer is responsible for the cost of replacement.

  • In order to prolong the use of the Hot Tub it is advised that the hirer must make sure everyone showers before using the Hot Tub.

  • If you are pregnant then we advise that you should NOT use the Hot Tub or seek medical advice first.

  • Anyone on medication must consult their doctor and if you have any health concerns, please consult your doctor before Hot Tub use.

  • Children under the age of 16 are strictly prohibited from using the Hot Tub without parental guidance and/or consent and should NOT be able allowed to operate the equipment.

Damages to your property
 

IMPORTANT - As the Hot Tub can weigh 1500 kg or 1.5 tons in addition to any occupants it is ESSENTIAL that the hirer is sure that the location in which the Hot Tub is to be placed is capable of supporting such weight.  If you are unsure you should seek the advise of a structural engineer before hire.

'Rental Hot Tubs' or it owners will NOT be held responsible for any damages to your property through hiring any of our Hot Tubs.  This includes any water damage or weight damage to structures, fixtures, fittings, and garden or grass areas as a result of the Hot Tub location.

Additional equipment

If additional equipment which you may have booked, such as gazebos or lights, cannot be provided this will not be considered a valid reason for cancelation of the booking.

Such equipment is prone to breakage and we cannot always guarantee availability.

Limits of our liability

All the times and dates we quote for delivery or collecting the goods are approximate, we will not be liable for any delays caused by circumstances beyond our reasonable control.

In the event of failure of equipment we will endeavour to put right the issue. If we cannot then we will refund the Hot Tub hire fee pro rata to the number of days the Hot Tub was not functioning. 'Rental Hot Tubs' or its owners or subsidiaries take NO responsibility for any associated costs linked to your event or the hiring of the Hot Tub.​

'Rental Hot Tubs' or its owners or subsidiaries will NOT be responsible for any damage caused to your property or persons.

You the hirer are responsible for looking after the Hot Tub and returning it to us in the same condition and good working order as they were received by you the hirer.

You must pay to us the cost of replacing any Hot Tub which is lost, stolen, or damaged beyond any economical repair. We advise that you add the Hot Tub to your household insurance for the duration of the hire to the value of £1,500. This is normally free to do with many household insurance policies.

If you do not willingly pay for any damaged replacement part, or stolen Hot Tub we will pursue a claim in the small claims court.

 

Our Right of Access

We may enter any land or premises where we reasonably believe the Hot Tub to be on the agreed date and time of collection at the end of the agreed hire period.

Other Terms

If any term in this contract cannot be enforced or agreed to, then the hire of 'Rental Hot Tubs' equipment will not be supplied.

By hiring our Hot Tubs you the hirer agree to release 'Rental Hot Tubs' and any of its employees from any and all liabilities incurred during the hire or use of the Hot Tub.

Hosepipe Bans

A hosepipe bans is not deemed as a valid reason for cancelation of your booking as the Hot Tubs can still be hired and used as the ban is on a hosepipe and NOT a Hot Tub or Pool.  The Hot Tubs can still be filled using a bucket...please take a look at our FAQ for more information.

 

We will allow you to change the date to another subject to the variations in cost at peak times but if you choose to cancel you will lose your deposit. 

Hot Tub Breaks Down

 

Very occasionally the Hot Tub might stop functioning or a fault might occur. While we appreciate this must be extremely frustrating and annoying obviously we have no control of when and where it happens :( 

 

We have provided comprehensive instructions on the Hot Tubs use on our webpages T&C's and FAQ and were possible have provided links to the manufacturers own websites for details of the error codes you might get and what to do about them.  

 

'Rental Hot Tubs' and its subsidiary business takes no responsibilities for associated losses for your event as a result of the failure of the equipment:

Call Outs

Unless you have requested and paid for a 'managed event' with us we CANNOT promise to come out to fix things should the Hot Tub or associated equipment go wrong, especially when that happens out of normal working hours. The 'standard' service is primarily a delivery and hire service and does  not guarantee site visits.

In the 'rare' event of a problem then please DO give us a call and/or leave  a message and let us know what the problem is and we will call you as soon as we can to see if we can fix it with instructions over the phone and if not then we will 'try' and make arrangements to come and fix it. Please do not call after 8pm.

Please note that if we are called out and the cause is found to be because of a blocked filter, water quality or the hirers failure to follow the instruction of use  then, as per our T&C's, we will charge a £75 call out fee + £5 for a new filter if needed + travelling costs at £1.50 per mile.  

 

Please NOTE operation, pipe leaks due to loose connections, water quality and cleanliness is the hirers responsibility.

Refunds

 

In the unfortunate event that the Hot Tub does break down and assuming the fault is not due to something the hirer may have done or, in the case of water quality, 'not' done then, on collection, we will inspect the Hot Tub for faults and if it is found that the Hot Tub is genuinely faulty then we will refund the amount paid using the calculations and formulae shown below:-

Day calculations 

 

If the fault is reported 'before' 9am then that and all further days will be refunded and if the fault is reported after 9am then the following days will be refunded.  Refund amounts will be made in accordance with the formulae shown below.

 

e.g. If your hire is on the Monday to Friday and the fault occurs on the Wednesday and you report it on that day 'before' 9am then, if we cannot rectify the fault or it is impractical for us to rectify the problem, we will refund you Wednesday, Thursday and Friday at the rate stipulated below. If you report it 'after' 9am then the refund would be Thursday and Friday only.  

 

Formulae

 

The FIRST and LAST days of your rental are NOT considered usage days so these will be refunded at 50% of the pro rata value. e.g. If your booking was for £100 / 5 days = £20 per day. Monday and Friday would be 50% of £20 = £10. So if you reported the fault 'before' 9am Wednesday you would receive Wednesday at £20, Thursday at £20 and Friday at £10 = £50. Delivery fees are NON REFUNDABLE.

Compensation

Furthermore and as way of apology for the inconvenience we will offer a 10% discount on your next booking.

Exceptions

Please note that the failure of the inflatable lid and any additional add on equipment such as a gazebo or lights does NOT qualify for refund of the rental of the Hot Tub.

In the case of the LayZSpa Monaco deflation of the Hot Tub also does not qualify for a refund as the Hot Tub remains usable.

Small leaks are not deemed a reason for refund or discount of the rental of the Hot Tub.
